Job description

 

Background:

Job responsibilities:

  • Plan and manage all travel and accommodation
  • Manage travel, accommodation, catering and venue requirements for conferences, meetings and functions
  • Manage the receipt and payment of invoices
  • Monitor and report General Manager executive expenses to ensure cost effectiveness
  • Screen telephone calls, field enquiries, proactively manage requests
  • Manage technical equipment requirements
  • Resolve administration issues by identifying solutions
  • Produce general correspondence, presentations, reports etc of a confidential nature, on behalf of MD
  • Maintain hard and soft copy filing systems
  • Identify and act on opportunities to improve effectiveness and flow of office activities
  • Manage prioritization of requests from multiple stakeholders (internal and external) across
  • Ensure all travel arrangements are within company policy
  • Maintain confidentiality where required 

 

Job requirements:

  • Expert in providing support at senior levels of an organization with shared reporting responsibilities
  • Demonstrated ability to take initiative. Be proactive in taking action and being persistent in addressing issues
  • Able to manage priorities and conflicting issues in a professional and well organized manner
  • Expert in managing multiple tasks including project initiatives across various business functions and under tight time pressure
  • Proven ability to build strong, open and collaborative working relationships
  • Strong verbal and written communication skills in English and Chinese
  • Banking/Financial Industry is plus
